Best CRM for non-profits in Belgium: 5 options compared
The best CRM for a Belgian non-profit: WeGlow CRM from €29/month, compared with Salesforce, Bloomerang, HubSpot and CiviCRM. Price and certificates.
The best CRM for a Belgian non-profit is the one your team will actually use, and for most small and mid-sized vzw's that means WeGlow CRM: euro prices from €29 a month for 1,000 contacts, Belgian fiscal certificates built in, and donations from your WeGlow campaigns, volunteers, members and major gifts in one place. We also looked at Salesforce Nonprofit Cloud, Bloomerang, HubSpot and CiviCRM, and we only list what their own pages confirmed today.
What should a Belgian non-profit look for in a CRM?
- A price you can read in euros, ideally for your number of contacts.
- Little setup: most teams have no system administrator.
- Belgian fiscal certificates: donors can get one from €40 given per calendar year to the same organisation.
- Donations that arrive on their own from your campaigns, so nobody types gifts in by hand.
- Volunteers, members and major gifts next to donors, so one person is one record.
- Your language: Dutch, French or English.
1. WeGlow CRM
WeGlow CRM is priced by contacts, not by users: €29 a month (€300 a year) up to 1,000 contacts, €59 (€600) up to 5,000 and €89 (€900) up to 10,000, all excl. VAT. Check the current prices in your dashboard. Your whole team can work in it.
Why it comes first for a Belgian vzw:
- The certificates tab creates and e-mails the yearly fiscal attestations, tracks sent and failed ones and shows whether donor data is complete.
- Each contact has a dossier with timeline, notes, tags, documents and gifts. Donations from WeGlow campaigns belong to the same person.
- Modules for members (dues, sign-up form), volunteers (shifts, availability, reminders) and major gifts with sponsorships are switches in the settings.
- Import a CSV or Excel file (a Mailchimp export too), read what will happen in plain language, and undo the batch if needed.
- Smart lists, tasks, automatic e-mails, a duplicate finder and reports are included. The interface is available in Dutch, French and English, plus German and Spanish.
If you already use Salesforce, WeGlow can also sync completed donations to it.
2. Salesforce Nonprofit Cloud
Salesforce prices per user: Core €70, Advanced €125 and Max €285 per user per month, billed annually, according to its pricing page.
Through Power of Us, eligible non-profits get 10 Core licences at no cost. It is a very flexible platform for large organisations with their own IT. It publishes no implementation timeline and we could not confirm a ready Belgian certificate or Belgian eligibility for the free licences.
3. Bloomerang
A US donor CRM with unlimited users and prices based on the records you track. Its CRM starts at $125 a month (annual), Volunteer at $119 and the all-in-one Giving Platform at $242. Currency, record tiers and Belgian support are not stated on the page we read. Good if you operate in the United States.
4. HubSpot
HubSpot has a free plan for up to two users with no time limit. Its 40% non-profit discount applies to Professional and Enterprise products for organisations registered in North America, Australia or New Zealand. Strong as a general platform, but donor, member and certificate processes would be yours to build.
5. CiviCRM
An open-source CRM for non-profits under the GNU Affero licence. The software is free; hosting, partners and training cost money, and the pages we checked publish no figures. Great if you have technical capacity and want full control.
How do they compare at 1,000, 5,000 and 10,000 contacts?
Only WeGlow CRM publishes a price per contact band that we could confirm: €29, €59 and €89 a month. Salesforce depends on users, not contacts.
Bloomerang does not publish its record tiers on the page we read, HubSpot's contact-tier prices could not be confirmed, and CiviCRM's costs depend on hosting and partner choices. Where a figure is missing, ask for a quote and compare it to WeGlow's yearly €300, €600 or €900.
Which one should you choose?
- A typical vzw or stichting in Belgium or the Netherlands: WeGlow CRM.
- A large organisation with IT staff and complex needs: Salesforce Nonprofit Cloud.
- A US-based organisation: Bloomerang.
- A tiny team that only needs a contact list: HubSpot's free plan.
- A technical team that values open source: CiviCRM.
Our advice for most readers: start where your donations already are. Try WeGlow CRM in your WeGlow dashboard.
What is the cheapest CRM for a Belgian non-profit?
HubSpot's free plan costs $0 for up to two users. If you need donor features and Belgian certificates, WeGlow CRM starts at €29 a month for up to 1,000 contacts.
Do I need a CRM at all with 500 contacts?
A spreadsheet works for a while. A CRM pays off when donations, members and volunteers start to overlap, or when you must send fiscal certificates each year.
Can I switch CRM later?
Yes. Export your contacts as CSV. In WeGlow CRM you can import them, check the preview and undo the batch.
Do fiscal certificates apply to every donation?
In Belgium the threshold is €40 per donor per organisation per calendar year, as built into WeGlow's certificates feature. Your accountant can confirm your own situation.
