In Luxembourg, also think about language: French dominates in official documents, but many of your donors read German. If your list is mixed, prepare the same three e-mails in both languages.

Send it about three weeks before the end, while your audience is still available. It presents the campaign, the goal in euros and the end date. The names and figures below are invented: replace them with your own.

Consent and privacy: what is confirmed

The Commission nationale pour la protection des données (CNPD) is the Luxembourg data protection authority. This is what we could read on its page about communication between a company and its customers, checked on 9 October 2026. The rest is not confirmed.

  • With no contractual link at all with the person, prior consent (opt-in) is required before sending e-mails.
  • With an existing contractual link (a sale or a service), the address may be used for advertising without prior consent, but the person must be able to object at any time and be informed of this at collection and in every message.
  • Besides the GDPR (RGPD in French), the amended law of 30 May 2005 on electronic communications applies.

This CNPD page is about commercial relationships with customers. We could not confirm whether a donation counts as a contractual link. So start from consent: a separate box for the newsletter and for the Christmas e-mail, never pre-ticked. If you are unsure about your list, ask the CNPD or a legal adviser before sending.

Can I e-mail all my former donors?

Assume that consent is needed. The CNPD requires an opt-in with no contractual link, and we could not confirm that a donation counts as one. If in doubt, ask the CNPD.

What should the subject line be?

Short, concrete and honest: it announces what the message contains. Never make a promise that the text does not keep.

Should I mention tax deduction?

Only if your organisation is on the ACD list. The annual total of gifts must reach 120 euros, and the deduction is capped at 20% of net income.

When should you send the thank you?

Within 48 hours of the end of the campaign, while the memory is fresh. Give the real result and a date for the next news, with no new request to give.
