WeGlow CRM vs HubSpot for non-profits

HubSpot has a free CRM for up to two users, and WeGlow CRM costs €29 a month for up to 1,000 contacts. The difference is what you get for non-profit work: WeGlow CRM comes with Belgian fiscal certificates, members, volunteers and major gifts, and fills with donations from your WeGlow campaigns. HubSpot is a general business platform. HubSpot also states that its 40% non-profit discount is for organisations registered in North America, Australia or New Zealand, so a Belgian vzw should not count on it. We recommend WeGlow CRM for Belgian and Dutch non-profits.

What does each cost at 1,000, 5,000 and 10,000 contacts?

For WeGlow CRM: €29 a month (€300 a year) up to 1,000 contacts, €59 (€600 a year) up to 5,000, and €89 (€900 a year) up to 10,000. Check the current prices in your dashboard.

HubSpot has a genuinely free entry point, and that deserves credit. For a very small organisation that only needs a contact list and basic e-mail, it can be enough. The cost question starts when you need more: paid tiers start at per-seat prices. The page we could read does not give prices at 5,000 or 10,000 contacts, so we will not invent them. If you are considering HubSpot at 5,000 or 10,000 contacts, ask for a quote in euros, with and without onboarding.

Then the non-profit discount. HubSpot says it applies to organisations located and registered in North America, Australia or New Zealand. A Belgian or Dutch organisation is outside that list on the page we checked.

How much setup is there?

HubSpot is flexible, and that cuts both ways. You decide which objects, properties and pipelines exist, which is powerful but needs someone who knows how to design it. Nothing on the pages we read describes a non-profit template for fiscal certificates or donor data.

WeGlow CRM starts from a non-profit shape: contacts with gifts and a dossier, lists, tasks, and switches for members, volunteers, major gifts and certificates. The first import takes a CSV or Excel file (a Mailchimp export works too), explains in plain language what will happen and can be undone as a batch afterwards.

What about Belgian specifics?

A Belgian donor can receive a fiscal certificate from €40 given per calendar year to the same organisation. WeGlow's certificates feature generates and e-mails the yearly attestations, tracks sent and failed ones and shows whether donor data is complete.

In HubSpot you would have to build that process yourself or buy another tool; we found no Belgian certificate feature on the pages we read. WeGlow's interface is available in Dutch, French and English, plus German and Spanish. We did not confirm which languages HubSpot's interface offers.

Donations, volunteers, members and major gifts in one place

In WeGlow CRM, people who donate, join or help are in one list, and each person has a timeline with notes, tags, documents and gifts. Members get dues and a sign-up form, volunteers get shifts, availability and reminders, and major gifts have a pipeline with sponsorships. Smart lists refill themselves from filters, and a duplicate finder merges double records, including their gift history.

With HubSpot you would model each of these yourself, and your WeGlow donations would not appear in it automatically unless you set up a connection.

When does HubSpot fit?

  • You are very small and the free CRM covers your needs.
  • Your organisation already works in HubSpot for marketing or sales, for example a social enterprise with commercial activity.
  • You have someone who enjoys configuring a CRM and want a general-purpose platform.
  • You are registered in North America, Australia or New Zealand and qualify for the discount.

Conclusion

If your work is donors, members and volunteers in Belgium or the Netherlands, WeGlow CRM is built for it and its price is easy to read: one band per number of contacts. HubSpot is a strong general platform, but its non-profit discount does not apply to you and the donor-specific parts would be yours to build. Try WeGlow CRM in your WeGlow dashboard.
