WeGlow Mail for Giving Tuesday: list, segments, schedule

How to use WeGlow Mail for Giving Tuesday: the emails are ready, you pick your list and segments, send a test, schedule everything and follow the rules.

TL;DR The Giving Tuesday emails are ready in WeGlow Mail, so you do not have to copy them. You pick your list and, if you like, segments, replace the sample text with your own story, send a test email to yourself and schedule the sending in advance. With {{first_name}} you greet every recipient by first name. Every email has an unsubscribe link.

On Giving Tuesday, email is often the channel that raises the most, because you reach people who already know you. The work is not in the writing but in the preparation: the right list, the right order and a schedule you do not have to operate yourself on 1 December.

This article walks through it step by step. Which emails to send and what belongs in them is covered in the article on setting up Giving Tuesday emails. Here it is about doing it in WeGlow Mail.

What is ready in WeGlow Mail?

The Giving Tuesday emails are ready for you in WeGlow Mail, inside your WeGlow.world account. That covers the email pack and the thank-you pack. You do not copy any text from a document: you open the email, adapt it and schedule it. The texts are also in the email pack guide.

  • An announcement, a story email and a call for 1 December
  • A reminder for the evening of the day itself
  • A thank-you pack for after the day
  • Sample text that you replace with your own story

Which list do you use for your Giving Tuesday emails?

Use the list of people you may rightfully email: supporters, volunteers and past donors who know who you are. A small, warm list works better than a large, cold one. Never buy or copy addresses from third parties, and check what you promised people when they gave their address.

Check your list well in advance, not on 30 November. Remove duplicates, wrong addresses and anyone who already unsubscribed. That way you avoid landing in spam and emailing people who did not want it.

Which segments do you create?

Create two or three groups and give each a slightly different message: past donors, supporters who never gave and volunteers or ambassadors. A segment does not need to be complex. It is enough that you know whom you ask which question. In WeGlow Mail you choose per email which audience receives it.

GroupMessageExample ask
Past donorsThanks and follow-up"Help us again, even 10 euros counts"
Supporters without a giftFirst introduction to the cause"Give for the first time, pick your own amount"
Volunteers and ambassadorsSharing together"Share our page with 3 friends"

These are suggestions, not fixed rules. If you are unsure, start with one group and one email. One good email beats three half ones.

How do you insert the first name with {{first_name}}?

Put {{first_name}} in your email and WeGlow Mail fills in each recipient's first name, for example "Hi {{first_name}}". If the first name is not in your list, choose a neutral greeting such as "Hi friend of our cause". That avoids an email that starts with a blank.

Addressing people personally works, but do not overdo it. One first name in the greeting is enough. The rest of the email is about your story and your button. The GivingTuesday toolkit recommends personal stories over generic messages.

How do you send a test email?

Before every email, send a test to yourself and at least one colleague, and view it on your phone and on a computer. Check three things: is the first name there, does the button lead to your donation page and is the unsubscribe link at the bottom. A test email takes 2 minutes and prevents the most painful mistakes.

  1. Open the email in WeGlow Mail and replace the sample text.
  2. Send a test email to yourself.
  3. Click the button and check that you land on the right donation page.
  4. Check the greeting with the first name.
  5. Ask a colleague to read along on a different phone.

How do you schedule the sending?

Schedule all emails in advance in WeGlow Mail, so there is nothing left to send on 1 December. Use a fixed order: announcement 2 weeks before, story 1 week before, the call on the morning of 1 December, a reminder in the evening and a thank-you on 2 December. Always test first.

DateEmailPurpose
17 November 2026AnnouncementSay that you take part
24 November 2026Story with photoMove people
1 December 2026, morningCall with buttonBring in gifts
1 December 2026, eveningReminderA last nudge for those who have not given
2 December 2026Thank-you emailThank your donors

The thank-you email for a gift itself goes out separately and automatically as soon as you fill in a thank-you text on your donation page. Read more in the article on saying thank you after Giving Tuesday.

What are the rules on consent and unsubscribing?

Only email people you may rightfully email, make sure every email has a clear unsubscribe link and process unsubscribes immediately. Across the EU, the GDPR gives people the right to object to direct marketing at any time, as Article 21 of the GDPR states. National email rules differ, so check your own country's data protection authority.

Also note where each address came from. That helps when someone asks why they get your email. This is general information, not legal advice. If in doubt, ask the authority or a lawyer.

Frequently asked questions

Do I have to copy the Giving Tuesday emails myself?

No. The emails are ready in WeGlow Mail, inside your WeGlow.world account. You only adapt the text to your story and schedule them.

How does {{first_name}} work?

WeGlow Mail fills in each recipient's first name in place of {{first_name}}. If the first name is not in your list, choose a neutral greeting in WeGlow.world.

Can I schedule the emails in advance?

Yes, you can schedule them in WeGlow Mail and so keep 1 December free for replies. Test first with a test email, even if you already know WeGlow.world.

May I email everyone who ever gave?

That depends on what you promised them and on the privacy rules. Every email needs an unsubscribe link. Check your list before you send, also when you use WeGlow.world.

How many emails do I send?

Five is a good rhythm: three beforehand, two on the day itself and a thank-you afterwards. With WeGlow.world you schedule them all in advance.
